Event Briefing for H&B Junior: Helloween 4KM (19/10/2024)

We're really looking forward to welcoming you and your little monsters (!) to the spooktacular HELL & BACK Junior: Helloween 4KM this Saturday 19th October in Killruddery, Bray, Co Wicklow.


As well as navigating through Killruddery's stunning natural obstacles - creeping through forests, dashing across meadows and splashing through muddy streams - we've also built a number of frightfully fun obstacles, especially for the kids - so they're guaranteed to have one HELL of a time! And don't worry, if your child is not comfortable with ANY OBSTACLE, they can simply walk around it...please let them know this!


Please read all the information in this Event Briefing for H&B Junior: Helloween 4KM ahead of Saturday and give yourselves plenty of time to park, register, collect your child's wristband and walk to the Start Line. The site opens at 09:00 so we recommend arriving at the Registration Tent at least 45-60 minutes before your allocated start time.

NEW START/FINISH/EVENT VILLAGE LOCATION = THE BARRACKS!

We're thrilled to be using for the first time The Barracks, a brand new area in the heart of Killruddery Estate where the Event Village (for food, drink, first aid, toilets etc) and the Start / Finish Lines will be located.


WARNING: THIS IS NOT A SPECTATOR-FRIENDLY EVENT!


Because of this new location, which is better suited to the weather conditions at this time of year, please be aware that this event involves significant walking. As shown on the map below, the Car Park is located a considerable distance from the Start/Finish Line and you will need to:


  • Walk 5-10 minutes to the Registration Tent.

  • Walk an additional 5-10 minutes uphill to the Start Line.

  • After finishing, it will take 10-20 minutes to walk back to your car.


Considering the time of year, weather and potential underfoot conditions, this long uphill walk along uneven farm paths is not suitable for child buggies, stroller or for those who are uncomfortable walking long distances. Please take this into account when planning for Saturday.


Also there are sections along the Spectator Route that are very wet - so if you are coming, we recommend waterproofs and wellies!


CAR PARKING

With up to 1,000 cars arriving throughout the day, it's essential to plan your transportation wisely.


To ensure a smooth and organised experience for everybody, all parking will be in the IDA Business Park on Southern Cross Road (at the SuperValu Roundabout) from 08:30. Click here for a Google Map link. Please follow the directional signs on your approach to the IDA Business Park, have patience (it will be busy!) and obey the instructions of our car parking attendants who will guide you to an available space.


Note: Because you will be exiting onto a Roundabout, you will get away from the site much quicker than if you were parked in Killruddery.


NO PARKING IN KILLRUDDERY

There will be strictly no parking in Killruddery as there is no access to the Estate from Killruddery House & Gardens or the Alive Outside Adventure Centre. (If you do accidentally drive into Killruddery, you will see the "No H&B Parking" signs and be instructed to drive back out and park in the IDA Business Park with everyone else attending the event.)


In the spirit of eco-friendliness and maximising space, please carpool wherever possible. Sharing a ride with your childrens' friends not only reduces traffic congestion but also minimises our carbon footprint.


PRE-PAY PARKING = €4.50 OR ON THE DAY = €5

If you haven't yet pre-purchased your car parking ticket, you can do so by clicking here and paying €4.50 per car. Alternatively, you can also pay €5 at the gate - cash is quicker and more efficient on the day so please stop off at an ATM for your fiver in advance.


Arrive and park at least 45-60 minutes before your allocated start time to give yourselves plenty of time to get parked, sign in & collect your child's wristband.

SWIMMING IS NOT REQUIRED!

Please note that for Health & Safety reasons (the eerie October chill!), this H&B Junior: Helloween 4KM event will not include any swimming obstacles. Instead, we promise an array of brilliantly hellish and spooky obstacles to challenge and thrill your young adventurer!


WEATHER

At this early stage, the weather for Saturday is looking ok for this time of year with some dry spells forecast - but we recommend that you expect the worst and be prepared for rain. Keep an eye on Met Eireann for weather updates and remember that Killruddery is a working farm so both you and your child(ren) should also dress appropriately as you will be walking around mucky farming fields and uneven farming paths!


START TIME CHECKER

Check your start time (or that of a friend) by clicking here and entering either the email address you registered with (recommended) or your surname...once your child is listed on this page, we will find your details at the Registration Tent so don't panic, we will get you registered!

GETTING TO KILLRUDDERY

The event takes place in Killruddery Estate - but the only access is via the IDA Business Park on Southern Cross Road - click here for a Google Maps link.


Saturdays in Bray and the surrounding areas is a very busy day - so expect delays on all approach roads to Killruddery, including the M50 and M11 southbound from Dublin. Make sure you give yourself plenty of time to arrive safely, park, register, collect your child's wristband at the Registration Tent and walk uphill to the Start Line - at least 45-60 minutes before your allocated start time.

REGISTRATION

You must collect and sign for your child's Wristband in the Registration Tent at the Site Entrance at least 30 minutes before their wave start time. Anyone who arrives after their allocated Collection Time may be removed from the event without refund. Click for Start Time Checker.


We use a digital registration process so everyone registers together in the same place - simply queue and go the the next available marshal.

 

To help speed things up, please bring the ticket you were sent when you originally signed up or the unique QR code you get on the Start Time Checker when you enter your email address.


IMPORTANT: Remember to enter the email address originally used to sign up - it may therefore be your work or partner's email!


Your child's Wristband will have their unique Participant Number and Wave Colour printed on it. Make sure you IMMEDIATELY fasten it securely to their wrist as they must show the wristband to take part. No Wristband = No Taking Part!


For safety, there is also space on the wristband for you to write your mobile number, in the unlikely event that your child gets lost.


And don't worry, we should still be able to find your registration if you have none of the above, provided your booking is showing on the Start Time Checker!

FAST TRACK FOR GROUPS OF 10+

There is a Fast Track option for Groups with 10 or more children and we have already reached out to the Group Leaders. If you have a group of 10 or more and havent already been in touch with us about Fast Track, email registrations@aliveoutside.ie ASAP and we will try to accommodate you.


E-CONSENT FORM

IMPORTANT: One adult must sign an electronic consent form for each child when they arrive onsite. Once signed, our registration staff will then give each child a numbered wristband, which will allow them take part. So, if you are not traveling to Killruddery, make sure you are aware of the Terms & Conditions of Participation (link below) and have an adult who will accept them on your behalf.


No child will be able to take part without an adult agreeing to the T&Cs on their behalf.


REPLACEMENTS / TRANSFERS

While it is too late to apply for a transfer, if your child cannot take part this Saturday, you can still get another child to replace them. Simply forward their parent your confirmation email/ticket and the parent can collect your child's Wristband at the Registration Tent but instead sign & print their own name. Our marshals will be able to help them out if they have any issues on the day.

EVENT VILLAGE IN THE BARRACKS

Once through registration, you have a 5-10 minute walk uphill to our new location, The Barracks, where you will find the Start & Finish Lines, as well as the Event Village, where you can grab a coffee, snack or buy H&B Junior merchandise. You can wait in The Barracks until your child's starting group or "wave" (sorted by colour) is invited into the Holding Pen at the Start Line, approx. 5 minutes before their allocated start time.


SPECTATOR ROUTE MAP

Remember that, due to the long walks, underfoot terrain and weather conditions at this time of year, this is not a spectator-friendly event - but if you are bringing supporters, remind them that Killruddery is a working farm and they should dress appropriately. We strongly recommend wellies & waterproofs as there are sections along the Spectator Route that are very wet.


While much of the course is not accessible to spectators for Health & Safety reasons, as you can see from the map below, we have a Spectator Route (marked in pink) that gives you access to the last 1KM of the course, including the Witch's Hut...simply follow the pink Spectator Route signs.


Please note that the Spectator Route is a short trek from the Event Village - so, if you follow it, you'll need to be quick afterwards if you want to get back and see your child cross the Finish Line!

Located in Hell's Kitchen this Saturday, you'll find a wicked selection of food vendors brewing up some frightfully delicious grub. Stop by and feast while you await for your little monsters to finish the course!

YOUR CHILD'S HEALTH & SAFETY

Your child's health and safety is an absolute priority for us - and the Order of Malta will be onsite for the day to treat any cuts or bruises that may occur. Please make sure you get any injury treated by the trained Order of Malta First Aid staff in The Barracks before you leave the site.

There will be a bottled water station at the Finish Line so make sure your child rehydrates.


Remember that Killruddery is a working farm and we don't want anyone picking up a nasty infection so:

  • if you notice any open cuts or wounds, get them treated by Order of Malta ASAP;

  • use the Sanitation Station at the Finish Line and around the Event Village;

  • get everyone to wash their hands thoroughly before eating/drinking; and

  • wash your child – and their clothes - thoroughly when you get home.

WHAT TO WEAR

No need to splurge on new gear for your little creatures - instead we recommend:

  • Old clothes that can get dirty - but dress to impress wearing something in your Start Wave colour (see below)!

  • A baselayer if it’s cold

  • Old, securely tied runners that won't come off in the muck (no velcro) - TRIPLE KNOT!

  • A warm change of clothes (hoodie / tracksuit bottoms) for after the event


HALLOWEEN FANCY DRESS & COMPETITION

Costumes are welcome but optional. For safety reasons, any costume must be suitable for a mud run, meaning proper footwear is essential. Costumes should not include masks, capes, scarves or any loose items that could get caught on obstacles.


We also encourage kids to dress in the colour of their Wave Start Time. For example, if your child is in the Green Wave, they could wear a green top, wristband or bandana to show their team spirit!

LIMITED UNSUPERVISED CHANGING FACILITIES

While there are limited unsupervised changing areas, we recommend that your little monsters arrive onsite dressed and ready for action. After they finish their ghoulish adventure, have them throw on some warm clothes (like a hoodie) to ward off the chill and head back to the car to change - save the full clean up for when they get home from their spooky escapades!


AVERAGE TIME TO COMPLETE 4KM COURSE

There are 7 x Start Times on Saturday from 10:00 to 14:20. It should take an average child between 30 and 60 minutes to complete the 4KM course (see Spectator Route Map for approximate times), so please be at the Finish Line to meet your child, as detailed below.


ADULT AT FINISH LINE

When you get to The Barracks, please familiarise yourself with the Finish Line, which will be straight in front of you as you walk in. (The Start Line is on your left.) You must return to the Finish Line to collect your child when they complete the course.


For security reasons, children are not allowed out of the Finish Line Area without an adult present - so please do not leave your child waiting!


4KM ROUTE / NO SECOND LAP

Our top priority is making sure that all young adventurers have a safe and thrilling experience. For health and safety reasons, children will not be able to complete a second lap of the course. However, we have extended the course to a spine-tingling 4KM and added a series of immersive Helloween experiences along the way. Your little ghouls will still find the course challenging and exciting, with plenty of tricks and treats to ensure they have a rewarding, fun-filled adventure.

CLOSING TIMES

The course will shut at 15:30 on Saturday so children in the last wave (Wave 7 @ 14:20) have 70 minutes to complete the course.

Please note that, if your child hasn't made it to certain points by this time, they will be redirected towards the Finish Line via a shortcut. For Health & Safety reasons, any child not finished by 15:30 will be assisted to the Finish Time by a marshal.

The site will then close at 16:00 so please make sure you bring all belongings with you when you leave.
